Regarding the use of PowerPoint for a Video Presentation at Council Chambers we now have in place a system to deliver PowerPoint Presentations at City Council chambers. Simply follow the instructions below and email the presentation via the link.
Please note that PowerPoint Presentations for broadcast require special considerations when being developed. Please review all of the links associated with this page to obtain helpful tips. Also, the following steps must be used for scheduling a presentation.
Video presentations in City Council chambers require the following process:
- For presentations at a City Council meeting, you must:
- Inform the Council Chair and obtain approval for scheduling a presentation. (274-7072)
- Email the presentation to City staff at least 24 hours prior to the presentation, which will allow the presentation to be loaded into the display systems.
- Contact the Cable Office prior to the day of the presentation in the event Cable staff has questions. (274-8217)
- Arrive early on the day of the presentation to review any needed instructions.
- For other presentations at Council Chambers, you must:
- Email the presentation to City staff at least 24 hours prior to the presentation, which will allow the presentation to be loaded into the display systems.

Special Instructions for Presentations by City Staff
- PowerPoint presentations made by members of City staff during Staff Reports / Unfinished Business are to be limited to five (5) minutes.**
**Rule B(4), Council's Rules of Procedures, reads as follows: "Staff reports (except during public hearings) and unfinished business shall be limited to five minutes for each subject, followed by Council questions and comments. Items requiring more time for discussion and deliberation shall be scheduled as workshops."
- If a PowerPoint presentation not scheduled for a workshop is longer than five (5) minutes, please inform the Chair of the City Council prior to the day of the scheduled meeting. Approval by a vote of the Council is required if the PowerPoint presentation will exceed the established limit of five (5) minutes.
- Please inform the City Clerk of a pending PowerPoint presentation being made by members of the City Staff.
- E-mail the presentation to City staff at least 24 hours prior to the presentation. This will allow the presentation to be loaded into the display systems.
- Contact the Cable Office prior to the day of the presentation in the event Cable staff has questions. (274-8217)

- Staff members are also required to forward a copy of the PowerPoint presentation to the Chief of Staff through the department's Administrator no later than the close of business on Friday the week prior to the scheduled Council meeting.
